Configure Attendee Fields - Customising the order of the internal Registration Form and Head Count page

Organisations can change the order of the internal registration form, accessed via People > Add new or when viewing an existing attendee profile. They can also change the order of the data fields shown within a head count session.

Customising the order can make these elements feel more bespoke and personal to the organisation, whilst improving the ease of data inputting. For instance, by allowing the internal registration form to run in an order more aligned to an existing physical copy of the form, or one that is more logical, can make data entry quicker.

System Admin users can change these elements via Admin > Configure Attendee fields.


Customising the order of the internal registration form

Organisations have the flexibility here to:

  • Change the order of the existing default sections (i.e. Permissions could be moved above Basic Details).

  • Change the name of the existing default sections (i.e. Basic Details could be renamed to Personal Information).

  • Create new custom sections (i.e. a section called Employability Details that contains existing data fields around 'Current Employment Status, NI Number, etc.)

  • Move data fields between sections (i.e. a custom data field such as 'How did you hear about us?' could be moved to the top of the form).

Users can toggle between changes to the Data Fields order or the Sections.

Available fields (i.e. those fields not currently being displayed on the account) can be added to sections either with the + button or the Add Field button found at the bottom of each existing section.

Data fields, and sections, can also be moved up or down by clicking and dragging.

These changes will impact the People > Add New page and the view of an existing profile.

Note: Changes to the order, and the names of the sections, will not impact the order of fields/sections within:

  • Any of the reporting tools within the system.
  • Any of the exports of reports that inc. personal details.
  • The bulk upload or bulk edit spreadsheets.
  • The Upshot Mobile App.

Customising the order of Head Count pages

It is possible to amend the order of your Head count page, allowing you to display the data fields in an order that makes most sense for yourself and colleagues when inputting data. These changes will always sit below the Total Number of Participants.

Organisations have the flexibility here to:

  • Change the order of the existing sections.
  • Change the name of the existing sections.
  • Create new custom sections.
  • Move data fields between sections.

Note: Changes to the order, and the names of the sections, will not impact the order of fields/sections within:

  • Any of the reporting tools within the system.
  • Any of the exports of reports.
  • The Upshot Mobile App.

Removing / Hiding data fields

Organisations may not wish to use certain Upshot default fields, or decide to no longer collect data on previous custom fields created.

To hide these fields, whilst keeping all historic data collected on them intact, organisations should leave these fields within the Available Fields on the right-hand side of the Configure Attendee data fields page. This will effectively set them as ‘Not Displayed’ on the account.

In the below example, fields such as Address line 2, Address line 3, County and Faith would not show on the registration form on this organisations account.

Organisations can also completely delete a data field if it has no data against it. This would be completed by going to:

  • Admin > Custom attendee fields
  • Clicking manage on the relevant field
  • On the right-hand side clicking Available to delete?

Note: If relevant, this page will display any Facilitating Organisation (FO) Data Fields set by a Funder. These will not be available to be removed from the form. The organisation should contact their relevant FO if they feel these fields should not be displayed on their account.
