Reporting on Outcomes

Multiple areas of your Upshot account can be linked back to Outcomes, this includes Activities, Timeline Events, Indicators, Media and Standardised Questions used in surveys.

As such Reporting by Outcome is split into different areas of the system.

Additionally, the Strategies Report enables users to report by Strategies on particular outcomes throughout a whole account for attendance, timeline event and standardised questions data. This report therefore allows you to view how much activity has been delivered towards an outcome across all of your Projects.


Reporting on Attendance data linked to a Project's Outcomes

Within a project a user can report By outcome(s). When the report is generated, any information around Measured and Evidenced Indicators, Contributing Activities and Media associated will be listed. 

On the right-hand side, users can choose to report on their Outcomes from a particular Strategy or any Global Outcomes their outcomes are linked to.

Before hitting Go users can also filter this to only view information on work related to outcomes within a certain date range. If left blank this will include information on all the work delivered related to outcomes.

Once users have run the report they should click on the + button to the right of the outcome to see the information generated.

Dependent on the information that has been added to the account users will see the following four drop downs, for Measured Indicators, Evidenced Indicators, Contributing activities and Media. Again users should click on the + button to expand.

For Measured and Evidenced Indicators the information presented will include the Description and Targets for each of the indicators associated to the outcome.

Contributing activities will list all the different activities linked back to this outcome and statistics around this. Users will see a summary of All activities combined from the project that have contributed to this outcome, but also a break down per activity.

Note: The numbers around attendees and attendances via registers only includes individuals marked as 'participants' within these sessions.

It is worth noting that if users know the particular activities within the project that contribute to a particular outcome they may find other reporting tools on the system such as the People Report or the Statistics Report helpful to gain further insight on things such as the demographics of the individuals that have attended the sessions these activities are related to.

Following this is any Media that has been associated back to this outcome.

Users can also choose to Download this information. Whether this be downloading all information related to indicators associated with the outcome or all contributing activities as shown below.

The option to Download can be seen on the right-hand side underneath the Outcome selection.


Reporting on Timeline Events linked back to Outcomes

Timeline Events added to attendee profiles may also be linked to outcomes.

For instance an outcome may be 'People continue to be active or inspired to carry on activity'  and so it may be relevant to link Timeline Events such as 'Referrals to Local Clubs'  back to this outcome when adding the timeline event to an attendee profile.

Note: By default users do not have to link timeline events to outcomes when adding them to a profile.

If outcomes have been associated back to Timeline Events in this way it can be helpful to add this evidence when reporting by outcomes. 

Using the Timeline Events Report can be the quickest way to collect the number of people with Timeline Events related to the outcome by using the filters on the right-hand side of this report.

Timeline Events can also be reported on using the People Report. To report on all the people that have Timeline Events linked back to a certain outcome users can apply the following filters on their People Report.

Using the other filters on the People Report will allow you to gain further insight around these attendees with Timeline Events related back to the outcome.

Reporting on Outcomes using the Strategies Report

The Strategies Report brings together a summary of your attendance, timeline event and standardised questions data by Strategies and Outcomes.

The Strategies Report can be used to report on data from across a whole account, or a number of accounts for Facilitating organisations. The report is therefore particularly powerful for reporting across projects, and for evidencing work and impact towards your organisational long-term vision, theory of change, or funder strategies.

Once accessed, you are able to choose from a range of filters to specify the strategies and outcomes you wish to report on, the projects and activity types they are associated with, and the date ranges you are interested in. Facilitating Organisations are also able to filter by programmeorganisation and project category.

Having made your required initial selections from the report's filters, you are then presented data across three sections: activitiestimeline events and responses.


Key Terms

Activities: 
These are the different things you deliver within each project such as classes, workshops, events, forums, groups, etc. These are often the physical outputs in your programme.

Global Outcomes:

A predetermined list of commonly used outcomes of which you can map or link your specific outcomes into to gauge how you are contributing to the ‘bigger picture’ or other organisational/government/funders aims.

Outcomes:

Each project or piece of work that organisations undertake should have direct outcomes, pre-conditions that bring about an organisations long-term strategy. Outcomes are the change you are working towards (e.g. reducing inactivity in young people). Strategies contain multiple outcomes and are linked to projects. Activities, pieces of media and timeline events can be linked to specific outcomes on the system.
Outcomes are different from outputs, which are the quantifiable product of your activities (e.g. 30 young people attended our fitness sessions in three months).

Timeline Event:

Each attendee on the system has a timeline and you can track points of interest on their journey as "timeline events". These record what has happened or changed with a participant outside of regular session data and can often be viewed as individual outcomes from participating in the project. 

People Report:

This report allows you to filter down your attendee database to find attendees matching certain criteria. This can be helpful in illustrating to funders the type of individuals you are working with. You can filter using a combination of criteria looking at demographic data, projects/activities attended, Timeline events and your Custom Attendee Data Fields. You then have the option to download this report, send an email or survey to these individuals or alternatively archive or pseudonymise them.
