Abandoning Sessions

The Sessions abandoned feature enables you to report on the sessions that have been scheduled but may not have taken place. For example, an Outdoor Fitness session may have been scheduled but could not be delivered due to adverse weather conditions. 


Marking a Session as 'Abandoned'

To mark a session as abandoned, locate the relevant session from the Sessions List and click; Edit session. There are two abandoned session options to choose from; Sessions abandoned and counted and sessions abandoned and not counted.

Once you have selected one of the Abandoned session options click SAVE. The session will appear on the Sessions List with a message related to the option selected. You can also run an Attendance report to view your abandoned sessions. 

Note you also have the option to completely Delete a session if you would prefer. This would mean you would no longer be able to report on this in any way. Please refer to the Viewing, Editing and Deleting sessions guide for information on this.


Viewing & Reporting on Abandoned Sessions

Firstly, abandoned sessions can be viewed on the Sessions List by changing the Register Statuses to Other. This will then show all Sessions abandoned.

For reporting it is important to note which of the two 'abandoned' options has been chosen.

As outlined above Sessions abandoned and counted will count in your reports as if the session had actually taken place. This can be helpful if a funder has a specific requirement on the number of sessions delivered and you would like your Statistics Report to reflect this even though the session had to be cancelled.

If Sessions abandoned and not counted is chosen this session will not count in areas such as your Statistics Report. This can be helpful to choose if you just want to keep a reminder for yourself and the team on the system that a session had been due to take place that day. 

If you would like to view both Sessions abandoned and counted/not counted then this can be done through a download of the Attendance Report.

On the filter that relates to Session status change the selection from the default of Past sessions - submitted to Abandoned sessions

This will allow you to view any sessions that were abandoned with their associated registers if applicable.
