Deleting Activities

First off, it's important to be sure that you want to delete the activity. This is because if deleted you will lose the ability to report on any of the existing data associated with it. Is it perhaps simply a case that the activity is no longer actively used and you are looking to tidy up the page within the project? If so please click here for a suggestion of managing this.

If you do definitely want to delete your Activity, find the Activity within the project, and go to Edit activity, on the right-hand side under Tools you will have the option to Delete activity

If this option to Delete activity does not appear, it is because of the following:

Activities can only be deleted when there is nothing associated with them, whether this be Sessions, Timeline Events, Media or any of your Measured Indicators.

The relevant associations would need to be removed first, for you to be able to delete this activity. This two-step rule with regards to deletion is to ensure that nothing is deleted by a team member by accident and important data removed.

Sessions

To view sessions associated with the Activity, simply click View Sessions next to the Activity and remove as necessary. Note that sessions can only be removed if they have no registers attached, so similarly the registers may have to be removed first.

For assistance with this please refer to the Viewing, Editing and Deleting sessions guide.

Timeline Events

To find any timeline events associated with the Activity, use the People Report and the filters in the Timeline Events section. You would then need to visit these individual timeline events on participant profiles and remove the activity association.

Media

Visit the Media Library (Evidence > Show Media) and use the filters on the right-hand side to find any existing Media associated with the activity. Once the relevant media files are found, edit their associations.

Measured Indicators

Go to the By Indicator tab within the project and view the Descriptions of any Measured Indicators created. If under the Activities header it lists your Activity specifically, you will need to edit the indicator and remove this association.

Once all associations are removed you will be able to delete the activity.

Tidying up activities within the project

If you realise that you would rather not completely delete the activity, to help organise the project users could use an Activity Group and move all old/redundant activities into this.

This Activity Group could be called Old Activities, Archived Activities or similar, but would create a clear distinction on the page for you and the team.

To add an Activity Group, go to the Activities tab within a Project and click on Manage Activity Groups, under Tools, on the right hand side.

Once created, you can move your existing Activities by clicking on Edit Activity and selecting the relevant drop down.

Note: The 'activities' page within a project runs in alphabetical order, so it may be helpful to call your Activity group something similar to 'zArchived Activities' for this to appear at the bottom of the page.
