Reporting Templates

Here at Upshot we have built a handful of reporting templates to support users reporting on their data. These templates allow users to drop existing Upshot report exports into the template, refresh the report and automatically be presented with a summary of the data.

Reporting on Attendee Locations

For organisations using Upshot that work with attendees in the UK, entering the postcode of an attendee will provide a number of geographical fields about the individual's location.

By copying data from an organisation's Attendance Report export into the pre-built Reporting Template, organisations can report on their attendance data grouped by the following location options:

  • First half of the postcode
  • Authority
  • District
  • Constituency
  • Ward
  • IMD Bracket

The different tabs within the template will display how many unique attendees you have engaged from each of these areas, the number of attendances they have made, their contact hours, and how many sessions they have attended.

The postcode field is required for this template to work, and can be a powerful field for organisations to collect with the amount of insight it can provide about your attendees. For more information about the power of postcodes, please see our guide here.

Reporting by User

Reporting by Session Registrar

Every session recorded on the system will have a session registrar.

By copying data from an organisation's Attendance Report export into the pre-built Reporting Template, organisations can quickly see key stats around their Session Registrars like below.

The different tabs within the template will highlight how many sessions, hours or people have been engaged with by an organisation's different session registrars. This information is also broken down by project and activity.

Reporting by Timeline Events - Recording User

Every Timeline Event recorded on an Attendee's profile will also capture the 'recording user' - i.e. which Upshot user added the Timeline Event.

By copying data from an organisation's Timeline Event Report export into the pre-built Reporting Template, organisations can quickly see key stats around their users like below.

The different tabs within the template will provide information about the amount and type of Timeline Events recorded by each Upshot user, as well as the link between the user and attendees in terms of Timeline Events.

Reporting on Volunteers

By copying data from an organisation's Attendance Report export into the pre-built Reporting Template, organisations can quickly see key stats around their volunteers like below.

The different tabs within the template will provide overall summary information about your volunteers, such as the number of times they have volunteered and their number of volunteering hours and minutes. Additionally, information about volunteers can be broken down by project or activity, as well as looking at specific sessions.

Key Terms:

Attendance Report:
This report allows you to see all your session registers for certain projects/activities in a downloaded CSV file. By changing the ‘data to display’ you can see more information about what participants did at this session, which has been recorded via your session registers. You can see their attendee type, whether they paid and how much, if they volunteered and for how long, their rating and any additional notes.

The Attendance Report can also be downloaded in a different format, known as a Database Table. More information around this format can be found here.
Session Registrar:
A session registrar is a user role related to a Delivery Organisation. A user with this role has access to attendee’s details and registers. They can add or remove attendees to registers as well as submit them. They can also report against people and attendance. You may give this role to a sports coach. Note: If you are going to choose the ‘session registrar’ role, you may want to add the ‘attendee’ role as well, since session registrars often need to be added to registers.
Timeline Event Report:
The Timeline Events Report can be used to find the number of times a certain Timeline Event has been recorded or the number of attendees who have this Timeline Event recorded against their profile.
This can be broken down further using the available filters to look at the amount of Timeline Events in a certain time period or those Timeline Events associated with projects, activities or outcomes.

User:
Someone who can log in and has access to Upshot. There are different user roles which allow different levels of access. Users can hold more than one role at once.
Volunteers:
Many organisations rely heavily on volunteers’ commitment and it is important to provide an accurate record of their hours as recognition, as well as reporting to funders and stakeholders.
To collect data on volunteer engagement – when, for how long and the nature of their work – we recommend using Session Registers.
