Restricted Access to Timeline Events

Access to individual timeline events can be restricted if required. This may be useful if the timeline event contains potentially sensitive data such as Case Notes that are taken from a 1:1 counselling session.


Restricting access to a Timeline Event entry

When adding a Timeline Event to an individual's profile at Step 5 you have the option to Restrict Access to this event.

When restricting access, the Timeline Event Value and Notes will be hidden for users not granted access. In the screenshot example above this would hide the  Value – ‘In care’ and any additional  Notes around this event.
To restrict access simply select the names of the users that do need to access the timeline event. All users not selected will not have access to this event. If no one is selected the timeline event will not be restricted. 
Make sure to include yourself if needed when restricting access to an event, otherwise after the event has been saved you will lose access to the timeline event.
All users that are given restricted access to an event can update who else has restricted access to that event. System Admins can also perform this function even if they are not in the restricted access set.
When on an individual's timeline, users will see the following if events have been restricted:

For restricted events users will only see the type of timeline event who initially posted the event and who last changed the Access Restrictions.
Note I: When restricting access to timeline events it is important to consider which users may need access to this timeline event for reporting purposes in your organisation. If unsure do not choose to restrict access to the timeline event and contact your System Admin.

Changing user access to restricted Timeline Events

System Admins can update their own or another user’s access to Restricted Timeline Events. Here you can Grant or Remove access for restricted timeline events.

It may be important to  Grant access to restricted Timeline Events for a certain user to complete reporting.

It may be important to  Remove access for a certain user as they may have moved into a new role in the organisation or no longer need access to this information.

Reporting on Restricted Timeline Events

For users that have access to Restricted Timeline Events these will appear in the various Reporting on Timeline Event tools as normal.

If users do not have access to Restricted Timeline Events, their reporting on these events will be impacted in the following ways:

- Any Measured Indicators set up to track Timeline Events and the Timeline Events Report on screen will show the correct numbers of attendees and number of events regardless of whether the user has access to the restricted Timeline Events as this is not personally identifiable.

- If a user chooses to download the Timeline Events Report for any Restricted Timeline Events that the reporting user does not have access to will only have the following columns returned: Attendee ID, Attendee Name, Status, Event ID, Event date, Event type, Strategy, Outcome, Global outcome, Recording user, Date recorded, Time recorded. All other columns are replaced with (restricted).

- When reporting on Timeline Events via the People Report - users will not have results included where they do not have access to the restricted timeline event.

- When downloading the Attendee Report Timeline Events the user does not have access to will see the following. The 'value' will be shown as '(Restricted access)' and the 'Notes' around the event will be not shown. 

It can be important to ensure that the relevant users have full access to Restricted Timeline Events to complete their reporting. This access can be updated in bulk if needed, please refer to the following guide.
